TERMS AND CONDITIONS FOR MEETINGS & CONFERENCES

Guaranteed Numbers
Reconfirming the numbers of guests attending and all final detail should be notified to the Conference & Banquet Department seven days prior to the function

A guaranteed minimum number of guests attending the function is required two full working days prior to the event. This is the minimum number of guests who will be catered and charged for. Should the attendance exceed this number, you will be charged accordingly.

Cinfirmation and Deposit
Confirmation of bookings must be made with the required deposit within fourteen (14) days of the original tentative booking. The hotel reserves the right to cancel any tentative booking not confirmed within 14 days and allocate the venue to another client.

A deposit is required upon confirmation of functions:
RM 2000.00 minimum for event held in the Gamelan Ballroom OR 20% of total bill-whichever is higher, for event held in the Gamelan Ballroom.
RM 500.00 for event held in each of the other function rooms.

Billing Policy
50% of the total bill inclusive of deposits should be made 1 month before the function date.
Unless prior credit arrangements have been made , the balance sum of the bill must be prepaid before the function.

Function And Room Reservation

Should the number of guests decrease, we reserve the right to hold the function in another more suitable room. Every effort will made to inform you, as the organizer and discuss the changes beforehand.

Cancellations
All cancellations must be notified to the hotel in writing. If your function is cancelled with less than 60days notice, deposit will refunded only if the room is resold. When bookings are cancelled within 30 days of the event, 50% of your deposit will be refunded provided that the room is subsequently sold. The deposit will be withheld in leiu of costs incurred for notice of 14 days or less.

Damage
Organizers are financially responsible for any damage sustained to Primula Beach Hotel property. Use of walls for display material is not permitted - repair of replacement costs will passed on to the client.

Insurance
Primula Beach Hotel will take the necessary care, but cannot take responsibility for the damage or loss of items before, during or after a function and recommends that insurance cover be arranged by the organizer.

Children

No charge for a maximum of two (2) children under 14 sharing room with parents.

Note: Only one extra bed (rollaway) will be provided in each room.
